Position Summary:  

The Purchasing Clerk compiles requests for materials, prepares purchase orders, keeps track of purchases and supplies and handles inquiries about orders. They gather information and records to draw up purchase orders for procurement of materials and services. This position reports to the Customer Service Manager.

Essential Duties and Responsibilities:

  • Perform all duties from a foundation of trust and the highest ethical conduct, following established safety rules, company policies and procedures
  • Process requisitions for supplies, research products, clarify specifications, document
  • competitive bidding and prepare purchase orders
  • Follow up on back orders/past due orders, expedite delivery of orders and make special
  • arrangements for delivery; communicates the expected delivery date to the department and manufacturing associates
  • Maintain an up-to-date filing system on pricing and vendors to ensure immediate and
  • accurate access to information
  • Research alternate vendors or suppliers before periods of shortages or stock outs
  • Maintain proper inventory levels for assigned product lines using Amtech System
  • Reduce controllable inventory
  • Provide updates on part shortages
  • Verify the accuracy of purchasing lead times within system
  • Confirm vendor purchase orders and document commitment dates
  • Review negative inventory, research, and report to Customer Service and Sales for corrective
  • action
  • Process purchase order reports and update in system
  • Attend daily production meeting
  • Create work instructions
  • Coordinate supplier lunches and learn presentations for Sales and Management
  • Undertake specifically assigned projects relating to procurement and provide summaries, reports and recommendations as required
  • Supplier quality - work with manufacturing, quality and strategic sourcing to establish
  • necessary action plans with vendors for improved quality
  • Inventory turns - must have a thorough understanding of inventory turns/calculations and
  • work directly with the materials manager to develop and execute plans to achieve goals
  • On-time performance - work with the customer service team to proactively address
  • vendor stock outs to prevent late customer delivery
  • Work closely with account executives on special projects including, but not limited to:
  • inventory reduction and product improvement
  • Perform other duties as assigned and participate in cross training to do other tasks in addition to primary responsibilities
  • Full-time role in an office/plant setting

Desired Qualifications and Competencies:

  • High school diploma or GED preferred
  • 1-3 years of relevant experience as a buyer or any combination of experience, education or training that would provide the comparable level of knowledge, skill and ability
  • Amtech and Microsoft Office experience preferred
  • Knowledge of general business practices including accounting, manufacturing, materials planning, purchasing and quality
  • Proficient computer knowledge and legal aspects of purchasing
  • Excellent interpersonal skills, including strong verbal and written communication skills and the ability to work well independently and with others at all levels of the organization
  • Ability to work under pressure in a detailed, organized manner
  • Detail-oriented and takes pride in the accuracy of work product
  • Excellent decision-making skills
  • Demonstrates initiative and possesses self-starter qualities
  • Ability to work with minimal supervision
